K.services provides a resource planning platform to professional-services firms in Singapore and Malaysia. This policy explains what personal data we collect, why, and the choices you have. We handle personal data in line with Singapore's Personal Data Protection Act 2012 (PDPA).
1. Who we are and how to reach us
K.services ("we", "us"). For any question about this policy or your personal data, contact us at k.servicespac@gmail.com or on WhatsApp at +65 8983 4270. We treat these as our data protection contact.
2. Two different situations
A. Visitors and enquiries. People who visit our website, message us on WhatsApp, Messenger or email, or book a demo. Here we decide how your data is used, so we are the organisation responsible for it.
B. Customers' staff data inside the platform. Our customer firms put their own staff, project and timesheet data into their K.services system. For that data the customer firm decides what is collected and why, and we act only on its instructions as its service provider (a "data intermediary" under the PDPA).
3. What we collect from visitors and enquiries
- Contact details you give us: name, firm, role, email address, phone or WhatsApp number.
- What you tell us about your firm and your needs, for example team size and how you plan work today.
- Your messages to us and our replies, on WhatsApp, Messenger, email or the website form.
- Basic technical data when you visit the website, such as browser type and pages viewed. The website does not use advertising trackers.
4. Why we use it
- To reply to your enquiry, give you a quote and arrange a demo.
- To set up and run your K.services system if you become a customer, and to send invoices and service notices.
- To keep records we need for accounting, tax and legal reasons.
- To improve the website and our service.
We do not sell personal data. We only send you marketing messages if you have asked for them, and you can opt out at any time.
5. Staff data held in your platform
If you are a customer, your system holds data about your own staff, such as names, grades, rates, leave, allocations and timesheets. We use it only to run and support your system. We do not use it for our own purposes, and we do not show one customer's data to another. Each customer has a separate system and database. Staff who have questions about their own data should ask their employer first, because their employer controls it.
6. Who we share data with
- Service providers who help us operate: cloud hosting, email and messaging platforms (Gmail, WhatsApp, Facebook Messenger). They process data only to provide those services.
- Authorities, where the law requires it.
Some of these providers store data outside Singapore. When that happens we rely on providers that give protection comparable to the PDPA, as the law requires.
7. How long we keep it
Enquiry data is kept while we are in contact with you and for a reasonable period afterwards, then deleted or made anonymous. Customer records are kept for the length of the service and for the period the law requires for accounting and tax. When a customer leaves, we return or delete their system data as agreed in their service agreement.
8. How we protect it
We limit access to people who need it, use sign-in controls and role-based permissions in the platform, and keep each customer's system separate. No online system is completely secure. If a data breach is likely to cause significant harm, we will notify the affected people and the Personal Data Protection Commission as the PDPA requires.
9. Your rights
You may ask to see the personal data we hold about you, ask us to correct it, or withdraw your consent to our use of it. Email or message us at the contact above. We will reply within 30 days. Withdrawing consent may mean we cannot continue some services. If you are not satisfied with our response, you may contact the Personal Data Protection Commission of Singapore.
10. Cookies and links
This website sets no advertising cookies. It may remember your language and display choice in your browser only. Links to WhatsApp, Facebook and other sites are governed by those sites' own policies.
11. Changes
We may update this policy. The date at the top shows the latest version.
